We hope you will consider being a part of our PTA Board for them 2022-2023 school year! For more information on the various positions, please see below. All submissions will be confidential and only shared with our Executive Board.

Ford PTA Job Descriptions


Executive Board Positions

Executive Board positions are elected officers. All elected officers shall fulfill the duties as listed in the By-laws and Standing Rules.


PRESIDENT

  • Coordinate the work of all officers and committees.

  • Preside over all PTA meetings.

  • Meet with the Principal prior to the beginning of the school year to see what the needs of the school are.

  • Plan out the school year PTA calendar with the Principal.

Busiest Times of Year: Busiest at the beginning of the year but flattens out quite soon; additional special projects throughout the year as well as monthly meetings (approx. 1 hour per week/2 weeks)


VICE PRESIDENT

  • Assist the PTA President.

  • Preside over meetings in the absence of the President.

  • Responsible for membership.

    • Membership responsibilities include encouraging Students, Parents, Staff and the community to join Ford PTA.

    • Report membership to Texas PTA within five days of members joining.

    • Become familiar with the structure of membership dues.

    • Texas PTA Provides membership cards to Local PTAs during the summer based on previous year’s membership totals: cards should be distributed to members immediately upon joining.

Busiest Times of Year: Busiest at the beginning of the year for Membership out once January


SECRETARY

  • Record the minutes of all Board and General Membership PTA Meetings.

  • Retain accurate records of activities.

  • Facilitate the actives of the Membership Coordinator.

  • Meetings typically last 1 hour.

Busiest Times of Year: Once per month for Membership and Board Meetings


TREASURER

  • Keep books of accounts and record.

  • Communicate with principal, line item chairperson(s) and President regarding the availability of funds in each budget line item as requests are received Present financial reports at meetings.

  • Facilitate activities such as Fall Fundraising, Spring Fundraising, T-shirts, and school Supply Coordinators.

Busiest Times of Year: Busiest at the beginning of the year but flattens out quite soon once you get the hang of it. Attends all PTA meetings, keeps on going budget and check writing.


Ford PTA Communication Team


Executive Board Parliamentarian (Executive Board Position) – This is not an elected position. This position is chosen by the President. The Parliamentarian advises the board of directors and members on matters of parliamentary procedure, and serves as a consultant, especially in a meeting, where only the chair has the authority to rule on questions of order or to answer parliamentary inquiries. (Approx. 1-2 hrs. a month)


Communication Chair – the Communication Chair helps with Facebook, Website, flyers, emails and Council Delegate when needed as well as give status for them or fill in for the Parliamentarian in their absence at any PTA Board or Membership Meetings. They update the PTA Website, Facebook or other social media pages with important information pertaining to the school and PTA such as sponsors, mustang mealtime, current fundraisers and other PTA information. (Approx.1 hour a week)


Council Delegate – The Council Delegate is liaison between Ford PTA, and the Georgetown Council of PTA’s. Attends PTA Council meetings, held 3-4 times a year. Reports back to PTA any topics that will affect the PTA or Ford. (Approx. 1 hour 3-4 times a year)


Ford PTA Specials Team


Library Coordinator – Organizes recruits and oversees schedule of library volunteers. Assist library activities (ex. Book Fair, Author Visits) this position is appointed by Librarian. Our Library Coordinator helps our amazing librarian with all of the fun activities throughout the year, including book fairs, reading challenges, and much more. They are responsible for communicating events and the needs of the library to membership and the board.

Busiest Times of Year: Busiest at the beginning of the year organizing volunteer schedule, Fall Book fair and February for Spring Book fair


Specials Coordinator – Our Specials Coordinator is responsible for promotion events for all Specials.

PE

  • Assist with planning field day

  • Assist with planning Turkey Trot

  • Assist coaches with staff needs in the event of absence (TBD)

  • Assist with inventory of equipment

Music/Art

    • Meet with and determine the needs/goals of music & Art

    • Assist with planning fine arts night

(Approx. 1-2 hours per month)


Kindergarten Coordinator – Organize Kindergarten Round Up, Help coordinate Room Parents and other responsibilities such as Thursday Folders, classroom volunteers, classroom parties and anything the Kindergarten team is requesting. (Approx. 3-4 hours per month)


Ford PTA Fundraiser Team


Spirit T-shirts Coordinator – Coordinates all aspects of our school t-shirts, Designs T-shirts, Organizes ordering t-shirts, collecting money for t-shirts and distributing t-shirts. T-shirt sales are usually held twice a year. Busiest in August/September and November/December


Spring Fundraiser Coordinator – If a fundraiser has not already been chosen, research and present fundraising ideas to the board and membership for approval; make sure fundraisers comply with state, local and federal laws along with district rules. Assist in developing a plan for promoting the fundraiser and recruiting volunteers. Coordinate and execute fundraiser based on plans. Report to board and membership fundraiser results.

Busiest after Holiday Break until after fundraiser (April/May) Approx. 2-4 hours per week


Fall Fundraiser Coordinator – If a fundraiser has not already been chosen, research and present fundraising ideas to the board and membership for approval; make sure fundraisers comply with state, local and federal laws along with district rules. Assist in developing a plan for promoting the fundraiser and recruiting volunteers. Coordinate and execute fundraiser based on plans. Report to board and membership fundraiser results.

Busiest in August-November. (Approx. 3-4 hours weekly at business time)


School Supplies Coordinator – Coordinates ordering dates, supplier and amount, Coordinates with teachers to update school supply lists and coordinates delivery of pre-packaged school supplies of the upcoming school year. Busiest in August helping previous coordinator organizes and hand out supplies and at the end of the year


Box Tops Coordinator – Promote, collect and submit Box Tops. Organize Box Top contests throughout the school year. (Approx. 1-2 hours per month)


Mustang Mealtime Coordinator – Plans monthly mustang mealtime locations and promotes mustang mealtimes to parents and students.


Ford PTA Student Enrichment Team


Volunteer Coordinator Chair – The focus of the Volunteer Coordinator Chair is to promote good relations

between school and community. To determine and implement the best methods of recruiting volunteers to meet the needs of the school. (Approx. 2-4 hours a month)

  • Visit with your PTA President to plan ahead for the needs of the school and determine priorities for volunteer recruitment.

  • Become knowledgeable about the volunteer guidelines set by the school district

  • Survey teachers and staff regarding volunteers needs in the school

  • Survey potential volunteers to learn about their talents, interests and skills

  • Hold volunteer orientation meeting if needed

  • Set goals for volunteers for the school year

  • Recruit volunteers throughout the year

  • Recognize volunteers for their hard work

  • Evaluate volunteer program success after each event


UIL Coordinator – Organizes, recruits, and oversees the UIL program from our school.


Reflections Coordinator – Organize and implement the National PTA Art Contest in coordination with the Art Teacher, Submits winner pieces to Local/Unit level (Busiest times are between August-December)


Safety Patrol Coordinator – Assists PE Coach with morning safety patrol. Get permission slips of 5th grade students interested in being on Safety Patrol (end of 4th grade) Have a meeting with the new safety patrol students, Assign the student their date and times for their duty. Organize end of year Safety Patrol Party.


STEM/Science Fair Coordinator – Coordinator will work with various Science teachers to organize the Science/STEM fair at Ford.


Ford PTA Mustang Team


Family Hospitality – the Family Enrichment Chair creates a feeling of friendliness and warmth at each PTA Meeting by providing greeters, name tags, registration sheets, refreshments and other activities as planned. The chairman may provide special activities during such times as American Education Week, Texas Public Schools Week, National PTA Teacher Appreciation Week, etc. (Approx. 1-2 hours a month)


Teacher Hospitality – Organizes monthly luncheons for the faculty and staff (potluck or themed), provides a sign up for potluck lunches, provide snacks for staff meetings and show the teachers and staff how much they are appreciated during Teacher Appreciation week. (Approx. 1-2 hours a month)


Grade Representative – Oversees all grade reps. Is Liaison between PTA Board, Grade Representatives, room parents and teachers. Coordinates with all Room Representatives and Lead Teachers regarding the three class parties (Christmas, Valentines and End of Year) address any other needs that the teacher/grades require


Design Coordinator – Works with teachers and staff to provide school decorations as needed. Coordinate volunteers to assist with design needs. (Approx. 3-4 hours a week)


PTA Programs/Services Coordinator – Every year, the Ford PTA hosts free events and/or give backs for our families as a THANK YOU for all their amazing-ness all year. Our coordinator is part of planning and executing these events which have include winter pictures, family fun nights and t-shirts.
